Using List Records

With Folland Software's Depository Express Check-In Kit (DECK) Shelf List Disk and Auto-Graphics GPO Tape Extraction Service, depository libraries can integrate shipping list records and fully cataloged GPO records on their online catalogs.

Each week, a library receives from Folland Software shipping list records which contain a unique control number in addition to bibliographic information. Then the library receives GPO cataloging records from Auto-Graphics on a monthly basis. The shipping list records can be replaced by corresponding full records on a library's online catalog. This is possible because each month Folland Software sends all shipping list records it creates to Auto-Graphics.

Then, Auto-Graphics matches GPO's full record with Folland Software's brief record utilizing a matching program based on SuDoc number and item number. If a match is found, the same control number is assigned to the full record as was given to the brief record. By using this unique control number, libraries can identify and replace records using the overlay feature of their online catalogs.
